This privacy notice explains how Pattison James Associates Ltd (“we”, “us”, “our”) collects, uses, shares and protects the personal information we hold about you, and the rights you have in relation to it.

Our permitted business is the provision of estate planning and will-writing services.
What information do we collect about you?
We collect information about you when you engage us for estate planning, will-writing or related legal services. This information relates to your personal and financial circumstances. It may also include special categories of personal data, such as information about your health, where this is necessary to provide our services.
We may also collect information when you voluntarily complete client surveys or provide feedback to us.
Information about connected individuals
We may need to gather personal information about your close family members and dependants in order to provide our service to you effectively. Where this happens, it is your responsibility to ensure that you have the consent of the people concerned to pass their information on to us.
Why we collect and use your personal data
We rely on the following legal bases under UK data protection law:
- Performance of our contract with you — to carry out the services you have engaged us for.
- Consent — where we process special categories of personal data (such as health information), and where we refer or introduce you to another firm (see “Referrals to other firms” below).
- Legal obligation — to meet our regulatory and legal duties, including anti-money-laundering and identity checks.

Where we rely on your consent, you are free to withdraw it at any time by contacting us.
How we use your information
We use your information in order to provide, arrange and administer the services for which you engage us, to meet our legal and regulatory obligations, and to keep in touch with you about your matter.
Who we may share your information with
In order to provide and arrange our services effectively, we may share your personal data with the following categories of recipient:
- your partner or spouse, where we prepare linked documents such as mirror Wills for a couple (if you would prefer us to keep separate files, you can ask us to do so);
- other will-writing and estate-planning businesses associated with us, where this is necessary to provide or administer your services;
- law firms and legal-service providers to whom we may refer you for probate, estate administration or other legal work;
- regulated financial advisers or firms to whom we may introduce you for financial, insurance or protection advice, where you ask us to or agree to this;
- professional advisers and suppliers who help us run our business, such as compliance consultants, accountants, and IT and case-management providers;
- identity-verification and anti-money-laundering agencies, to help us meet our legal obligations to prevent financial crime; and
- regulators, courts and government bodies where we are required to share information by law.
We only share what is necessary for the purpose, and we require these recipients to protect your information and to use it in accordance with data protection law. We will not sell your personal data, and we will not share it with other companies for their own marketing purposes.
Referrals to other firms
From time to time we may recommend that another firm — for example a law firm for probate or estate administration, or a financial adviser — is better placed to help you with a particular matter. Any such referral is entirely your choice.
Before we share your information with another firm for this purpose, we will explain the referral to you, tell you about any connection we have with that firm and any fee arrangement between us, and ask you to confirm your consent — usually by signing a short introduction document. You are always free to choose a different provider.
How long we keep your information
During the course of our relationship with you we will retain the personal data necessary to provide our services, and we take all reasonable steps to keep it accurate and up to date. We reserve the right to retain data for as long as required thereafter where we are legally obliged to do so or where it is in our legitimate interests. You have the right to request deletion of your personal data, and we will comply subject to our regulatory obligations and legitimate interests.

Marketing
From time to time we may contact you about changes in legislation, in order to help ensure that your estate planning and legal arrangements remain effective. Where you consent, we may also contact you about other products or services we think may be of interest to you. You have the right to stop us contacting you for marketing purposes at any time — simply let us know by email or post.

Our website uses cookies to understand how visitors use the site and to compile statistical reports on website activity. You can set your browser not to accept cookies, although some website features may not then function correctly.
